Thank you for choosing Hilton Head Rentals for your Hilton Head Island vacation. Our goal is to strive to not only offer you a quality vacation property but to also guide you with any questions so you and your family can enjoy our beautiful Island.

CHECK-IN: Check-in time is between 4:00 PM and 6:00 PM. When planning your arrival, make sure it is not earlier than 4:00 PM, then contact Agent for status before going to property. The property and its amenities will not be available prior to that time. Every effort is made to have your property cleaned and ready by 4:00 PM, but it is not guaranteed.  

CHECK-OUT: Check-out time is 10:00 AM. The home should be free of garbage and secured. 

 

RENTAL RATES: Published rates are calculated at the discretion of the agent.

Advertised rates do not include applicable state and local sales taxes, reservation fees, processing fees, or departure cleaning.   We are the Agent for individual property owners: therefore, prices may change without notice. State and local taxes are subject to change and current rate will apply to rate based on arrival date.

 

Rental rates and fees include:

Bed and bath linen include 2 bath towels, 1 hand towel and 1wash cloth per person. Sleeper linens (when advertised in property description) will also be supplied.

Damage protection of up to $1,000.00 for any accidental damage at the property when reported during stay or before departure. 

Bath "starter" amenities per bathroom- 2 rolls of toilet tissue, 1 bath bar and 1 box of facial tissue.

Kitchen/Laundry starter amenities- 1 liquid dish washing soap, 1 packet of dish washing detergent, 1box of laundry detergent and one roll of paper towels.

We offer 24/7 guest services to help with any emergencies that may arise.

Propane for the properties that are allowed to have an exterior grill.

 

Taxes- Taxes will be charged and collected based on occupancy dates.  If a governmental change is made between when property is reserved and occupied, guest will be billed any difference at time of check-in.

COMMUNITY ACCESS- VEHICLE PASSES:  Parking is restricted to the property’s driveway or carports. Garage can also be used unless noted in the property description.   No parking is allowed on any streets.   Any damage to property lawn, irrigation or landscaping due to occupants’ vehicles will be responsibility of the signed rental guest.  When staying at a condo complex, the parking spots are not assigned, and may have restrictions (see individual descriptions).  Additional charges will apply for lost/misplaced passes.  Please keep passes always visible on the dashboard.

 

Community passes-   Each vehicle is required to have a pass when entering the gates.

Shipyard- Each vehicle will need to purchase a pass from Hilton Head Rentals at prevailing rates.  Limit is based on the total bedrooms unless restrictions apply and noted in the property description.

Palmetto Dunes- Each vehicle will need to purchase a pass from Hilton Head Rentals at prevailing rates.  Limit is based on the total bedrooms unless restrictions apply and noted in the property description.

Sea Pines- Each vehicle will need to purchase a pass at the entry gate when arriving to Sea Pines.  Limit is based on the total bedrooms to a maximum of 6.  A gate pass is required to enter Sea Pines via leisure paths.  In addition, a pass is required for re entry via uber or taxi.

Communities do not permit operation of motorcycles/motorized, or golf carts.  No oversized transport vehicles or van, trailers   or commercially marked vehicles are allowed in residential areas, including driveways overnight.   Some properties have limited parking spaces.  

RENTAL PAYMENTS:  Payments can be made through our website guest portal.

• Initial Payment: The initial payment of 50% of the total contracted rental rate due on booking date. 

• Final Payment: The remaining balance is due 60 days prior to arrival.  

No personal checks will be accepted at check-in. SORRY but NO EXCEPTIONS.

Monies are held in escrow in an FDIC insured, interest bearing escrow account which guest agrees to waive their right to this interest earned.  A $35.00 fee will be assessed to your balance for any returned checks.

CANCELLATION POLICY:  We cannot make any changes to your reservation unless we receive it in writing or verified email. If guest cancels by the end of business on the date reservation made- No cancellation fee.

 

Nightly rentals- less than 27 days

After calendar day of booking- Guests forfeits 10% of the contracted price.  

120 to 91 days from arrival- Guest forfeits 25% of the contracted price. 

90 days to 61 days from arrival- Guests forfeits 50% of the contracted price.  

60 days or less from arrival- Guest forfeits 100% of the contracted price.

Monthly rentals- Stays of 28 days or more

After calendar day of booking- Guests forfeits 10% of the contracted price.  

180 to 121 days from arrival- Guest forfeits 25% of the contracted price. 

120 days to 91 days from arrival- Guests forfeits 50% of the contracted price.  

90 days or less from arrival- Guest forfeits 100% of the contracted price.

Monthly rentals- Stays of 28 days or more.  

Guest is responsible for monthly electric charges that exceed $200.00

Monthly reservations are required to have a monthly cleaning at the guest expense at the current housekeeping rate

 

Refunds are not issued for early check out or no shows.

 

Storms- We strongly encourage all guests with a reservation between June 1- November 30 to purchase trip insurance.  There will be NO REFUNDS for cancellations, interruptions, or early departure due to weather related incidents.  

In the event of a tropical storm, tropical depression, hurricane or any named or numbered storm the company cancellation applies.  If the guest has purchased travel insurance, any claim will be between guest and third-party policy holder.  Hilton Head Rentals is not the policy provider.  Once purchased Travel insurance is non-refundable

 

Cancellation due to governmental orders, local ordinances, laws, rules, or regulations restricting or prohibiting rentals- Reservations will abide by any order, ordinance, law, or regulation restricting or prohibiting short term rentals.  This includes any orders issues by the Governor of the state of South Carolina and/or ordinances adopted by the town of Hilton Head Island.  There are no refunds in the event of any such order, ordinance, law, rule, or regulation.

TRAVEL INSURANCE:  Is offered by Hilton Head Rentals through Red Sky Insurance.  When you purchase trip cancellation insurance, you protect your rental payments if an unforeseen event such as illness or mandatory hurricane evacuation should occur. Trip cancellation insurance is 7.75% of your total rental and is highly recommended. For more information on this comprehensive coverage Hilton Head Rentals has a link to a flyer detailing the coverage plus contact information to ask specific concerns. Hilton Head Rentals will NOT issue any refunds for hurricane evacuations or any other natural disasters. Travel Insurance is advised.

VACATION RENTAL DAMAGE PROTECTION:  Hilton Head Rentals provides rental guests peace of mind for accidental damage during your stay. The protection will cover up to $1,000.00 for REPORTED accidental damage. Damage must be reported before departure or during stay. The protection plan does not cover malicious or intentional damage. Guests will be responsible for any expense in excess of $1,000.00. Guest agrees to the responsibility for any damages to the dwelling or grounds and to the furnishings, including attorney's fees, caused by the guest's negligence, or the persons in the guest's party or their guests, which occur during the guest’s occupancy.

AGE REQUIREMENTS: Guest reserving and occupying dwelling must be at least 25 years of age. The person signing the contract must occupy the premises the entire length of the reservation.

OCCUPANCY: The occupancy on each accommodation is limited to and will not exceed the number of persons indicated on this rental agreement. Exceeding maximum occupancy violates the terms and conditions of this agreement.

PROPERTY USE: Any use of the dwelling other than the residential use during a family vacation must be approved by the Agent. If the dwelling is to be used for any event, such as weddings, reception, or large gatherings, the guest agrees to submit a request for approval to the agent and adhere to the agent’s determination on the request. If the agent approves the event, the guest may be required to pay an additional deposit. If the guest misrepresents an event to the agent, the guest agrees that the agent may refuse occupancy or have the dwelling vacated and the guest will not be entitled to a refund.

POOL HEATING:  Pool heating is available on certain properties at an additional charge and must be arranged at least 14 days prior to your arrival. The charge will be based on the season and prevailing rates at the time of your rental. Due to unforeseen mechanical problems with heating of pools, we will refund unused heat fee, but no adjustment will be made to rental rate. Only if noted in property description can the pool and inground jacuzzi spa be operated or heated separately.

Due to outside temperatures, we do not turn heaters on June, July or August.

Waiver and release for pool/spa use- Guest understands that swimming pools contain risks which cannot be eliminated regardless of care taken.  Guest knowingly assumes all risks, both known and unknown, and assumes full responsibilities for all use for themselves as well as invitees.  This responsibility extends to use of a private home pool as well as a neighborhood or property owners association pool.  The guest does hereby release, waive, discharge, and hold harmless any claims against Hilton Head Rentals or the property owner from all claims for injury, loss or damage caused.

PETS:  We accept dogs only, that are at least 1 year old.   No pets are allowed in any property unless specifically designated as pet friendly.  A two-pet maximum and a weight limit of 45 lbs. per pet is strictly enforced. If requested by agent, Guest will be required to supply up to date veterinary records confirming the animal is current with all vaccinations.  NEITHER AGENT NOR THE PROPERTY OWNER WILL BE RESPONSIBLE FOR ANY PROBLEMS, DAMAGE, OR INJURY CAUSED BY ANY PET. PETS ARE NOT PERMITTED ON THE FURNITURE AT ANY TIME. ADDITIONAL CLEANING AND DAMAGE FEES WILL APPLY.  A $500 fine in addition to the pet fee WILL apply if any pet is found in a non-pet friendly property.  In addition, Hilton Head Rentals reserves the right to immediately cancel the reservation without refund for any property where an unauthorized pet is found. 

When staying at a villa or condo each pet is $30.00 per night.

When staying at a home each pet is $45.00 per night.

This charge is not a security deposit and is subject to the cancellation policy listed in the rental terms


Service and/or emotional support animals- Hilton Head Rentals in accordance with applicable law, will make accommodations available with no original pet fee required.  Guest must submit a written request, at least 30 days in advance of arrival.  Information and/or documentation in accordance with applicable law supporting the animal’s status as a service or emotional support animal together with up-to-date veterinary records confirming the animal is current with all vaccinations.  Service and support animals additionally must not violate the “nuisance clause” of this agreement.

Nuisance animals- Under no circumstances will a nuisance animal be tolerated while occupying a property managed by Hilton Head Rentals.  In the event complaints are lodged, that the animal is being a nuisance including but not limited to being off leash or out of guest’s control, excessive barking, aggressive or uncontrolled acts towards other animals or persons, or guests’ failure to clean up after the animal, we reserve the right to withdraw consent and demand the removal from the property.  Further guest takes full responsibility of actions of animal while staying at the property.  Animals are not allowed to be on any furniture or left unattended.

NO SMOKING or VAPING - ALL PROPERTIES ARE STRICTLY NON-SMOKING! No smoking or vaping of any substance is permitted at the Property (including porches, decks, or outdoor areas) at any time.  A $500.00 fee WILL apply for violation of this policy.

MAINTENANCE: –Hilton Head Rentals makes every attempt to make sure the home or villa you have rented is in good working order when you arrive.  If you do encounter a maintenance problem in the home or villa, it will be handled in a timely and professional manner.  Agent is not responsible for resort amenities, such as scheduled or unscheduled pool and spa closures, malfunction of building elevators etc.  Rental rates will not be adjusted due to any malfunction of equipment.   Hilton Head Rentals or its Agent may re-enter the rental property at a reasonable time for the purpose of making repairs or for routine maintenance.

Utilities- All efforts will be made to supply all property utilities in working order, but we can not offer refunds when utilities fail or are in non-working condition. We will make our best efforts to get them working as soon as the utility company can schedule.

Elevators- When elevators are available for guest use, Hilton Head Rentals cannot guarantee functionality and non-working elevators are not grounds for guest to seek compensation.

Lost items will be returned if found. Agent is not responsible for left items. A minimum fee of $15 will be charged for any item being returned.

The Town of Hilton Head Island does have restrictions for the use of grills at some villa complexes.  If the property does not have one, guest cannot add or use one during occupancy.

Trailers, motor homes, motorcycles and/or recreational vehicles are prohibited in the resorts on Hilton Head Island. Please call our office if you have any questions.

Should the Owner of the property under our management elect to remove their property from our program for any reason, the guest shall not hold Hilton Head Rentals liable. We will make every attempt to place you into a comparable property as determined Agent. If a comparable property is not available, the guest agrees to accept a full refund of any monies paid to date as full compensation for property not being available for occupancy.

The Property is privately owned, and we expect guests to act as a good neighbor. Please treat the Property with the same care you would use with your own and leave it in the same condition it was in when you arrived. Guests should not re-arrange villa or home furnishings in any way.   A charge will be incurred should it be necessary to return furniture to its original location. To prevent theft of or damage to furnishings or your personal property, you agree to close and lock doors and windows when you are not present at the Property and upon checkout. You and other Occupants agree to conduct yourselves throughout your stay and that will not prompt complaints to Agent from police, neighbors, or neighborhood or homeowner associations. Noise audible outside the Property is prohibited between 10 p.m. and 8 a.m. You and other Occupants agree to abide by all applicable parking restrictions and limitations.

NOISE and CONSTRUCTION: Hilton Head Island allows for construction, repair, and renovation work Monday – Saturday from 7am – 7pm.  Noise from neighboring construction, repairs & renovation is unavoidable and out of our control. No refunds or discounts will be issued due to discomfort, noise, or inconveniences arising from construction, repairs, or renovations around the Property. This term extends to discomfort, noise or inconveniences resulting from the ongoing maintenance of surrounding properties (landscape work, pool cleaning, etc).

 

LIABILITY: –As a guest of the owner and Hilton Head Rentals, I understand that while using a private or community pool (or spa), you and any guests are swimming at your own risk.    In consideration and on behalf of your guests, Agent and the pool owner are released from any liability or claims arising from injury while using the pool. Hilton Head Island is home to many wildlife animals including Alligators. Agents is not responsible for any injury caused by guest’s negligence that may cause injury by any wildlife animal including Alligators.

Agreement may be executed by electronic or digital signature.

I UNDERSTAND AND AGREE TO THE ABOVE TERMS AND CONDITIONS.  Guest (to include guest invitees) further agrees to indemnify and save Agent, its employees and property owners, free and harmless from any claim or liability for any loss or damage whatsoever including but not limited to personal injury or damage/loss of property, arising from, related to, or in connection with the rental of the above premises or any rental equipment ordered through Hilton Head Rentals.
